The Incumbent will provide reception, assist payroll and A/P, data entry, and word processing.
Strong communication, interpersonal, organizational, time management, customer service, and computer software (Microsoft Office) skills are essential.
The incumbent is a self-starter, personable, and enthusiastic.
ESSENTIAL FUNCTIONS 1) Performs receptionist duties.
(a) Receives office visitors and answers the telephone using knowledge of business telephone procedures and etiquette (b) Handles routine inquiries and directs individuals to appropriate resources; takes clear and concise messages (c) Prepares, duplicates and distributes department correspondence and mailings, compiles data and reports (d) Receives and routes daily incoming and outgoing mail 2) Assists the payroll manager.
(a) Assists with applicants, new hire paperwork, and other payroll processes as directed by payroll manager (b) Performs data entry and maintains filing system for payroll and related records.
3) Assists Accounts Payable Manager.
(a) Manages purchase orders and payables procedures as directed by A/P Manager (b) Maintains efficient and organized paperless filing system, setting up new files, classifying, labeling, filing and retrieving documents (c) Maintains inventories, purchase orders and equipment maintenance records.
4) Performs work requiring knowledge of the organization or program to verify documents for completeness, accuracy, and to determine compliance with department procedures.
5) Performs additional related duties as assigned.
SPECIFIC SKILLS REQUIRED Organization skills to work within prioritize needs Excellent interpersonal communication and public relations skills to meet people courteously.
Good judgment and professionalism in dealing with pressures and meeting deadlines Ability to listen, take directions, and communicate effectively both verbally and in writing Ability to attend to detail and follow directions with thoroughness and accuracy Self-motivation to take assignments and carry them through from initial stages to completion Able to maintain confidentiality with all matters Ability to evolve with changing technology, software, and electronic data handling Maintains a professional atmosphere in the work area TECHNICAL EXPERTISE REQUIRED Demonstrated ability in business communications, including proper business English usage, composition, punctuation, and spelling Proficiency in appropriate computer software including Microsoft Office, e-mail, telephone skills, and other related office systems Basic knowledge of payroll and accounting Experience using basic math skills Must Be Bilingual (Spanish & English) PHYSICAL / COGNITIVE REQUIREMENTS Lifting from 20 - 50 pounds occasionally.
